Tracks in ISMS.online help you manage work visually and collaboratively. As items progress from start to finish, you and your team can stay on top of priorities, updates, and outcomes all in one place.

Navigating a Track

A Track is made up of columns and items:

  • Each column represents a status (e.g., To-do, In Progress, Resolved). These can be customised to fit your workflow.
  • Each item represents a piece of work and displays its ID, name, assigned team member, user avatar, and any categories applied.

As work progresses, items move from left to right across the columns. Column headings also show how many items they contain.

 

Finding Items Quickly

  • Filter items by Team Members or Categories using the dropdown menus.
  • Use the Search bar to locate a specific item.
  • View archived items by clicking Archived in the top-right corner.


Managing Team Members

To view, add, or remove Team members from a Track:

  1. Click Team in the top-right corner of the Track.
  2. Update the Team as needed.




Adding a New Item

  1. Click New Item in the top-right corner.
  2. Enter a name for your item and click Add Item.

Your new item will appear in the To-do column with a unique ID. By default, it won’t be assigned to anyone until you do so.


Working with Track Items

Click on an item to view or edit its details. Here you can:

Update Core Details

  • Name: Edit directly in the text field.
  • Description: Add more context (e.g., paste complaint details or meeting notes).
  • ID: Each item has a unique ID displayed on the Track and in the URL.
  • Creation Date & Creator: Shows when and by whom the item was created.
  • Assigning: Choose a team member from the dropdown to assign the item. Their avatar will then appear on the Track view.
  • Status: Update an item’s status (e.g., To-do, In Progress). This moves it to the relevant column.
  • Categories: Apply or update categories if enabled.
  • Due Date and Time: Set deadlines for items, with visual alerts if overdue.

Tip: Remember to click Update Item to save your changes.



Sharing Information

Within an item, you can:

  • Add Notes and notify Team members of updates.
  • Start or contribute to Discussions for clarity and collaboration.
  • Upload Documents relevant to the item.

Track Stats

Click View Stats on the Track overview page to see a visual summary of activity.

You’ll find:

  • Resolutions per day
  • Creations per day
  • Average resolution times
  • Due date and overdue analysis
  • Outcome and category distribution
  • Item assignments per team member

Click any number in the stats to view the list of matching items (e.g., all items created in a specific month).

You can also export stats by clicking Export in the top-right corner of the stats page.




Linked Work

Within a Track item, use Linked Work to:

  • Connect the item to other work areas in ISMS.online.
  • Create a new work area linked to this item.

This is ideal for managing decisions in Tracks while delivering outcomes elsewhere.




Notifications

ISMS.online keeps you updated with notifications when:

  • You’re assigned to an item.
  • Another team member updates the item (e.g., changes status).
  • You’re notified in a Note or Discussion, even if you’re not the assignee.
