Connect your ISMS.online user account to a Microsoft account to see To-dos assigned to you in your Microsoft Outlook calendar.

 

The Outlook integration can display new ISMS.online To-Dos in your Calendar, provided they have a due-date. If the To-Do is due at a specific time, this will be shown in Outlook. If no time is specified the calendar item defaults to 11.59pm of the day it is due.

The Outlook calendar event for an ISMS.online To-do enables you to see what tasks are upcoming without having to log into the ISMS.online platform. 

Key terms

Integration: An integration is the ability to connect to a service (e.g. Outlook), within any one integration you can have multiple workflows enabled.

Workflow(s): These are the pre-built series of steps which sends or receives data between the integrated apps, an integration can have multiple workflows available to use.


Who can use the integration?

To configure this User-level integration, you must have:

  1. An ISMS.online user Account with API Key access enabled for the user configuring the integration. This is because the integration needs to create an API key. (Organisation admins can grant this permission by going to the users profile > user settings > grant API )

  2. A Microsoft Outlook account.


Setting up the Outlook integration


Step 1

Navigating to the integration:

  1. In ISMS.online, go to the menu under your profile picture, click User Settings

  2. Click the Notifications tab

  3. You should see an Integrations panel with an Outlook connection available, click Connect

If you cannot see any integrations on the Notifications page, your organisation may not have integrations as part of your plan. Contact your Success manager for more information.

 


Step 2

Clicking to Connect with Microsoft Outlook will open the first step, which is authenticating your Microsoft Outlook account. 

This authentication should happen automatically if an open Outlook desktop app is detected.


Final Step

  1. Choose Calendar in the first dropdown field. Only this option will work for the integration at the moment, this is a known issue we are working on.

  2. Enable the workflows

    1. Send To-dos to Outlook calendar allows ISMS.online to display To-dos in the calendar if they are assigned to your user, and it has a Due Date and Time (Due dates and time are optional in ISMS.online To-Dos)

    2. Sync Outlook calendar updates to To-dos The first workflow must be enabled for this one to work. This workflow allows you to edit the Description or Due date/time of a To-do that displays in your Outlook calendar. The update will be sync’d back to ISMS.online

This integration only works on To-dos that are created after you have connected to a calendar, existing To-dos will not sync. 


Close the integration popup, and the Outlook integration will be ready to work.

Through following these steps we have set up an integration that will…

  • right arrow Show newly created To-dos that are assigned to me, in my Outlook Calendar (If they have a due date and due time) 

  • right arrow curving left Allow me to edit my To-dos within the Outlook calendar, syncing the changes back to ISMS.online

I set up this integration but I don’t see To-dos in my Outlook Calendar?

Please ensure you followed all steps correctly, likely causes could be:


  • No New To-Dos have been created and assigned to you since setting up the integration. Note: The integration currently does not sync existing To-dos.
    • Create a new To-do, assigned to your user, and check if this appears in Outlook.
  • A calendar other than ‘Calendar’ has been chosen. This is a known bug, we are working on a fix.

I set up the integration and created a new To-Do for myself, but I can’t see it in the calendar?

Check your To-Do has the required information to sync to a calendar:


  1. Due date and time must be present
    1. This is required for the To-do to display in the appropriate place
    2. To-dos with a due date, but no specified due time, will default to 11.59pm of the due date.

How do I edit my To-do from the Outlook calendar?

Click on the To-Do in your calendar to get the Edit option.


You can edit any of the highlighted fields in the screenshot, those edits will sync back to ISMS.online


  • Calendar event name = To-do description
  • Calendar start date/time = To-do due date/time


Note: ISMS.online To-dos do not have a start/end date. Editing the end date on the calendar event will not trigger any updates.
